Share datasets and reports with others

SpatialKey is built around the concept of sharing information with multiple users in your organization. Sharing a report is a simple two step process:

  1. Set permissions on the dataset(s) by user or group
  2. Set the report from “Private” to “Shared”

Setting permissions on a dataset

The first step when sharing a report is making sure that the target user or group has permission to access the data. If a user does not have access to the data and you set the report to shared they will not be able to see the report. A user only needs to have viewer acccess to the data in order to view a report. Figure 1 illustrates the default permissions where the user that imported the data is the only one with access.

To provide access you can either permission individual users or groups. The most maintainable option is to add a group but if you only want to provide access to one other user you have that option as well. To add a user simply start typing their name into the box as shown in Figure 2.

In this case I want to add “All Users” as a Viewer on the dataset which will give everyone in my organization access to view the dataset. After typing a few characters from “All Users” simply select it then click the Add button below it. This will add the All Users group as a viewer. Figure 3 shows an example after adding All Users.

After setting user and group permissions on the dataset simply click the Save button.

Sharing a Report

Now that we have set permissions on the dataset we are ready to share our report. There are several areas within the application where you can share your report both in the home interface on the Reports tab and within the report. Lets look at the options to share a report within the report. When you save a report you can click the “share this report” see Figure 4. This option is available under Options -> Save or Save as.

The Share option is also available in the Options menu as seen in Figure 5.

Additionally you can share a report without opening it. Within the home interface if you click on the reports tab and select a report the panel on the right will open displaying details about the report as well as a sharing button as show in Figure 6

After clicking the share button the icon it will now show as published as shown in Figure 7.

That is all there is to sharing a report with other users.
